In short — privacy-first: your family's data is encrypted in transit and at rest, isolated per family, never used to train AI, and never sold. The sections below explain exactly what that means.
1. Who we are
Famitly ("we", "us", "our") provides a family organisation app available on the web and mobile, including a shared calendar, to-do lists, recipe collection, receipt manager, family hub, AI paper scanning, voice event creation and external calendar sync. This Privacy Policy explains how we collect, use and protect your information when you use famitlyapp.com and the Famitly application.
2. Information we collect
- Account information: name, email address, and password (stored securely as a hash, never in plain text).
- Family data: calendar events, to-do items, recipes, receipts, documents and any other content you and your family members add to the app.
- Scanned papers (Premium): if you use AI paper scanning, the photo you upload (e.g. a school permission slip or flyer) and the events/tasks extracted from it.
- Voice input (Premium): if you create events by speaking, the text transcript of what you said. The audio itself is processed live and is not stored by Famitly.
- External calendar data (Premium): if you connect Google Calendar, Microsoft Outlook or Apple iCloud, the events in the connected calendar within the sync window, and the credentials needed to sync (see section 5).
- Contact form and newsletter: if you contact us or subscribe to updates, we collect the name and email address you provide.
- Technical data: basic device and usage information (such as browser type and access times) collected automatically for security and reliability.
3. How we use your information
- To provide, maintain and improve the Famitly app and its features.
- To power the AI features you choose to use: extracting events and tasks from photos of paper documents, and turning spoken sentences into draft calendar events.
- To keep your connected external calendars and your Famitly calendar in sync, in both directions, when you have connected them.
- To send account-related emails, such as reminders, daily/weekly digests and password resets.
- To respond to messages sent via our contact form, and to send occasional product updates if you have subscribed to our newsletter. You can unsubscribe at any time.
4. AI features and your data
Famitly's AI features run on Azure OpenAI and Azure AI Speech — private, enterprise Microsoft Azure services under our own subscription, not consumer AI products. Under Microsoft's Azure OpenAI terms, content processed by these services is not used to train AI models — not Microsoft's, not OpenAI's, and not anyone else's. Microsoft may retain API inputs for a short period solely for abuse monitoring, after which they are deleted.
- Paper scanning: your photo is sent to our Azure OpenAI service to extract events and tasks, and stored in private storage so you can revisit the scan. You can delete a scan (including its photo) at any time from within the app.
- Voice events: your speech is transcribed live by Azure AI Speech using a short-lived token; we never receive or store the audio. Only the parsed result of the transcript is kept if you choose to save the event.
- AI features are optional — nothing is sent to any AI service unless you actively use them.
5. External calendar sync
Calendar sync only happens when you explicitly connect an account, and each family member connects (and can disconnect) their own accounts.
- What we access: only calendar data, using the minimum scopes the provider offers (Google Calendar scope; Microsoft Calendars.ReadWrite; Apple CalDAV calendar access).
- Credentials: OAuth tokens and Apple app-specific passwords are stored encrypted with an additional application-level encryption layer, on top of at-rest database encryption. Your Google/Microsoft passwords are never seen or stored by Famitly.
- Two-way flow: events from your connected calendar are copied into your family's Famitly calendar, and Famitly events you're assigned to are copied to your connected calendar. That external copy is then governed by the provider's own privacy policy (Google, Microsoft or Apple).
- Disconnecting: removing a connection stops all syncing, deletes the stored credentials immediately, and cancels any provider notifications. Events already synced remain where they are.
6. Where your data is stored and how it is protected
- Encrypted in transit and at rest: Famitly is hosted on Microsoft Azure. All traffic uses TLS; your data is stored in Azure SQL databases and Azure Blob Storage with encryption at rest, and calendar-sync credentials carry an extra application-level encryption layer.
- Isolated per family: every piece of family data is bound to your family group, and every request is checked against your family membership. No other family can access your data through the app.
- Never used to train AI: see section 4.
- Never sold: we do not sell or rent your personal data to anyone. Famitly is funded by subscriptions, not by your data, and shows no ads.
7. Sharing your information
We do not share your personal information with third parties except: (a) with members of your own family group, as part of the core functionality of the app; (b) with service providers who help us operate the app — Microsoft Azure (hosting, storage, Azure OpenAI and Azure AI Speech) and our email delivery provider — under appropriate confidentiality obligations; (c) with Google, Microsoft or Apple, only when you connect their calendar services and only to perform the sync you asked for; or (d) where required by law.
8. Your rights
Depending on your location, you may have the right to access, correct, export or delete your personal data. You can manage most of your data directly within the app — including deleting paper scans, disconnecting calendars and removing events — or contact us using the form on our Contact page to request assistance.
9. Data retention
We retain your account and family data for as long as your account is active. Paper scans are kept until you delete them. Calendar-sync credentials are deleted the moment you disconnect an account. If you delete your account, your data will be deleted or anonymised within a reasonable period, except where we are required to retain it for legal reasons.
10. Cookies
Our website and app use a minimal set of cookies and local storage required for the app to function (such as keeping you signed in). See our Cookie Policy for details.
11. Changes to this policy
We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated "Last updated" date.
